About The Role

Salisbury Group are looking for a Workplace Experience Champion to join our Cognizant contract in Central London.
 
The role of the Workplace Champion is responsible to coordinate on an operational and tactical level for the facilities and workspace operations. The role will ensure that we provide a save, pleasant, efficient work environment combined with the best hospitality for our visitors and employees. Creating and embedding a best practice standard into the full workplace facilities, taking ownership for all facilities services solution enabling Cognizant to focus on their core activities. 

Working with the Cognizant Estates and Facilities team and the Salisbury Account Manager the role will effect change and seek to increase better the workspace environment, productivity and efficiencies, ensuring thorough engagement with Cognizant employees and key stakeholders. They will be responsible for the high quality of services provided by the organization, ensures all issues are resolved in a professional and timely manner and deadlines are set & respected. He/she will manage external vendors and communicate with management as required in a positive, open and constructive spirit to achieve business goals.

Principle Duties and Responsibilities

Operational
  • To oversee the delivery of facilities services at the Cognizant Bristol office including but not limited too, planned and reactive maintenance, cleaning and office services. Working with the Salisbury Account Manager and Account Coordinator to ensure appropriate access is provided to contractors including issuing permits to work and Salisbury employees as required to enable works to be completed.
  • Supporting the Account Manager to ensure all IFM Services are managed, delivered and developed in line with the contractual and continuous improvement commitments. Maintaining regular monitoring and control over the services to ensure feedback is collated and provided o ensure quality service is delivered.
    IFM Services Including but not limited too;
    Arrange for post & courier services
    Stationary and kitchen stock and management
    Events management
    Organise on site parking
    Seat and locker management
  • To be the lead for Visitor and stakeholder management, ensuring all visitors and stakeholders experience the highest standards of customer service and their time in the office is seamless. To include hospitality management, room set up and layout changes as required.
  • To manage CWS inbox and respond to complaints, requests and questions.
  • Ensure that the physical security policies and practices are enforced; be the first line of defence to stop and question people entering the office. To be the
  • Liaison with LL and estate team (security) and Manage the access control system, issue and terminate access.
  • Compliance and Audits: All applicable Cognizant policies are in place and respected, information provided to auditors in a timely manner, audit recommendations implemented.
  • Subject Matter Expert: For selected subject’s acts as the expert for the facility organisation.
  • People management: Ensure staff or 3rd party service provider’s works efficiently, is motivated, supervised, responsibilities distributed and followed up.
  • Support & guidance are provided as needed, training plan in place and goals set for employee(s).
  • To promote a culture of change and enhancement, always challenging the norm and identifying ways to improve service delivery and enablement of Cognizant to focus on their core business
  • Proactively manage resource and the services ensuring coordination of tasks and activities are completed in advance of requirement to ensure smooth delivery at the location.
  • Create a truly customer focused culture, developing excellent relationships and effective stakeholder management through good communication, taking ownership, delivering our commitments and working together
  • To continually review and assess processes and ways of working to lead a best in practice service to the Customer.
  • Assist with the submission of site related carbon emission reporting.
  • Ensure the OPS manual is maintained in a current and live state.
  • Work collaboratively with other members of IFM operational and compliance teams to deliver a comprehensive and cost-effective area-based IFM service.
Health & Safety and Compliance
  • Responsible to ensure that the facilities within their responsibilities are safe and compliant to local regulations and Cognizant European H&S Program.
  • To lead by example promoting a customer centric and health and safety culture. Completing Housekeeping checks daily to ensure the safety of all working or visiting the office, including checks on First aid supplies, Fire or safety hazards and office condition ensuring all highlighted issues are handled with the correct level of urgency and priority.
  • Manage and maintain all PPM and statutory records to ensure a fully compliant service delivery at all times.
  • Operate within agreed operational and/or management guidelines, ensuring company policies and procedures are adhered to, whilst always working within the limits of the Cognizant and Salisbury Corporate Governance.

  • Create a truly customer focused culture, developing excellent relationships and effective stakeholder management through good communication, taking ownership, delivering our commitments and working together.
  • Freedom to escalate any H&S issues in the event of serious concerns and to liaise with Salisbury’s QSHE Director and Cognizant Senior Customer.
  • Undertake detailed reporting and investigation of all incidents and accidents.
Any other tasks or responsibilities seen as reasonable to the role.

About You

Minimum Qualifications, Certifications and Training required
  • GCSE in English and Maths or Equivalent
Knowledge, Skills and Experience for this role
  • 3-4 years experience in Multi Service FM Delivery or corporate front of house role
